New Data Protection Policies

In line with the new data protection regulations, I'd like to make the following information available to any potential clients who contact me via this website:

Enquiries submitted through the contact form are sent directly to me by email and deleted from the web host (Webhealer) systems once delivered. No data is passed on to third parties. Your information is used solely for the purpose of correspondence between you the sender and myself, Haoli, in the arrangement of counselling sessions. Thereafter, the following applies:

What information do I collect?
Having requested an appointment, I would ask you to provide your name, telephone number, email address and availability for appointments. Information concerning therapeutic issues may also be requested.

At an initial appointment you will be asked about your current personal, social and health circumstances. You will also be asked about your background and family history, as well as the issues which are affecting you now. This information is required in order for a decision to be made about the help that is needed and to manage the service that is offered to you.

What is the information used for?
The information held about you is used in order to provide you with the professional counselling/therapy service requested, to administer the service including arranging suitable appointments and payment of fees and to notify you about changes to your appointments.

What information is shared?
Information about you will not be shared with other organisations or people, except in the following circumstances:
Your information may be shared with health, social care professionals or others whom you have requested or agreed that this can be shared with.
There is a an ethical and legal requirement to share your information with the relevant authorities if there is reason to believe that this may prevent or stop serious harm being caused to you or another person.
If required by law, information may be shared.

How is your information kept safe?
All information you provide is stored as securely as possible. Unfortunately, the transmission of information via the internet is never completely secure. Although best efforts will be made to protect your information the security of your data transmitted via email cannot be guaranteed. Any transmission is at your own risk. Once your information has been received, all reasonable steps will be taken to prevent unauthorised access.

It is a requirement of the professional bodies I belong to, as well as my insurance company, that I keep short, factual notes of each session. Information containing your name and contact details are kept separately to the notes, which do not identify you in any way. All such information is kept securely and, in line with the requirements of my insurance company, is retained for 6 years from the commencement of our work together, after which time, all such information will be destroyed.

Your rights
You have the right to ask for a copy of your information. You also have the right to require the correction of any inaccuracies in your information. If you would like to do this, please email me to request this.

You may withdraw your consent for me to hold and process your data at any time. In order to do this, please contact me via email. Please note, however, that if you do withdraw your consent while receiving counselling, your therapy would need to end.

Changes to this policy
This policy may be reviewed from time to time. If any substantial changes are made, these will be communicated via this website.

This information will also be contained in the written agreement that I shall supply at the commencement of our work together and, by signing this agreement, you will be providing me with consent to keep your personal details as outlined in this policy.
